Role Overview:

 

We’re looking for a highly-efficient, detail oriented, and self-driven Executive Assistant & Member Success Coordinator. This is a super exciting opportunity because you’ll be an early addition to our core team. That means you’ll have the chance to shine right off-the-bat and to play an integral role in helping the organization run smoothly as we rapidly grow/scale.

 

Core Responsibilities:

 

  • Executive Support- Create substantial leverage for the Chief Executive. Ensure that the Chief Executive is as efficient and effective as possible by anticipating her needs and maximizing her time.
    • Calendar management– As gatekeeper, manage complex calendars and schedule internal and external meetings with Chief Executive while being able to anticipate conflicts and solve scheduling issues with ease across global time zones.
    • Meeting preparation– Manage all logistics for meetings involving Chief Executive. Ensure all meetings have defined agendas & objectives and send relevant materials in advance. Provide research (participants background/insights) prior to meetings.
    • Meeting follow-up– Develop a system for managing meetings and follow-ups in order to streamline communication. As appropriate, accompany meetings, take notes, organize action items/owners/timing and communicate clear follow-up activities.
    • Time management– Conserve Chief Executive’s time by reading & routing email, drafting communication, collecting & analyzing information, initiating meetings and greeting guests.
    • Communications– Draft communications for the Chief Executive, including, but not limited to, company updates, presentations, emails with key stakeholders, donor prospects, and more.
    • Expense report management– Handle all expense reports for Chief Executive.
    • Travel & conference management– Support Chief Executive with coordination of international and local travel and logistics around conference and speaking engagements.
  • Operations “Team Athlete”– Play an integral role in scaling the business, bringing efficiencies in work by implementing and improving processes for project & data management and researching growth opportunities. Represent Pledge 1% by promoting member success, supporting social media efforts, maintaining a professional (and fun!) office environment, and being a welcoming face at industry events. Contribute to team with a positive, roll-up-your-sleeves attitude.
    • Data– Manage incoming data sets including growth channel partners (Techstars, 500 Startups) in Salesforce and Hubspot environments. Practice exceptional data hygiene (validate & clean data). Maintain a pulse on the company’s key data points.
    • General Operations & Office Management– Provide back-office support to all P1% staff.
      • Be the guru for GSuite, Salesforce, Hubspot, Crunchbase integration, website, & office equipment. Maintain and build clear, organized virtual filing systems.
      • Manage orders for office supplies, marketing collateral, and meeting snacks.
      • Maintain an organized, clean and well-supplied office to ensure team success.
    • Customer Support & Member Success– Manage member help email inbox; support member success activities i.e. basic onboarding, webinars, online community, content creation (assist in creating copy, signs, 1-pagers, etc), and other member engagement initiatives.
    • Social Media Communications– Coordinate the Marketing/Social Media rhythm of the business in close partnership with the Chief Executive and Marketing Consultant including agenda management, notes, drafting and posting to social media.
    • Events– Attend P1% and industry events and represent P1% with professionalism, warmth, and excitement. Research event venues, coordinate logistics, booth set-up, etc.
    • Executive Special Projects and Research– Ad hoc research i.e. track top startup accelerators, latest conferences, IPO watch lists/member news, potential donors, and more!

  • Self-Motivated Multi-tasker– Organize, prioritize and coordinate multiple work activities with the ability to meet deadlines. Can easily multi-task and self-manage. Very reliable and responsive.
  • High EQ– Great judgment; people person, able to build strategic relationships with stakeholders.
  • Team Player– Super positive, flexible, resourceful and have a “no problem-I’m on it” attitude.
  • VERY strong communicator– Written, oral, and visual communication skills. Comfortable and experienced interacting with C-level.
  • Exceptional Attention to Detail– Extremely organized & have crazy attention to detail.
  • Tech & Operational Excellency– Tech savvy, enjoy leveraging technology, keep tabs on the latest tools/apps/trends. Operationally minded and enjoy making things more efficient.
  • Passionate about social change and the Pledge1% mission and vision.
  • Physical ability to move boxes weighing 20-30 lbs each 10-15% of work time. Occasional travel.

 

Experience:

 

  • 3+ years of experience, salary commensurate with experience level. Bachelor’s and/or Master’s degree or equivalent experience.
  • Prior experience as an Executive Assistant at a high-growth, fast-paced tech company / startup
  • Experience in project management, data, event management roles that involve attention to detail.
  • You are also a guru at G-suite/MS office. Prior experience with Salesforce is a bonus.

  • Target start date: May 2019.
